UNITING DUFFIELD SQUASH AND TENNIS CLUBS – Invitation to EGM

The purpose of this letter is to invite you, on the 15th February 2024, to an Extraordinary General Meeting to discuss and vote on a new constitution which seeks to unite the squash and tennis clubs.

Context
For several years, the tennis and squash committees have been considering uniting the two clubs to make one organization in order to increase our efficiency. This reflects the fact that, in many ways, we act as one club already. Furthermore, we have many costly overlaps and some redundant activities which can be streamlined to allow us to focus on the longer-term planning and development of the clubs.

Project Unity
A project team, sponsored by the squash and tennis chairs, has worked since March ’23 to address the complex work required to create a combined structure which will better serve the club going forward. The aim is to provide a better, more secure, and viable future for both clubs, centered on delivering excellent squash and tennis in the long term. Our assets and running costs are already mostly combined, and the flood crisis has precipitated very close working together, demonstrating how quickly and constructively we can move forward when this occurs.

We have sought to learn from the experiences of a number of similar clubs who have recently merged. This has given us a good understanding of the benefits and pitfalls of the process. The overwhelming feedback is that this provides better leadership, governance, and planning for the future.

The Proposed Structure
In the new united structure, a governing council will oversee the finance, facilities and administration of the club, seeking common approaches on membership and payment systems. The council will also have a squash lead, a tennis lead and a gym/fitness lead. The new structure aims to:

  • bring efficiencies and much greater focus on the longer term
  • improve facilities and broaden the appeal of the club
  • attract new squash and tennis members for many years to come.

Tennis and squash will each maintain a committee which will focus on delivering excellent playing opportunities in terms of leagues and matches, as well as coaching. They will not be encumbered by financial or facilities management, policy development or other administrative tasks; these will be the responsibility of the governing council

Our new united constitution reflects the above aims, and we will remain a member-run CASC (community association sports club).

Both squash and tennis committees have met, discussed and unanimously ratified the new structure, recommending that members vote for and adopt the new constitution so that we can move the process forward.
