Dear [[firstname]],
We’ve had some feedback that the update emails are too long and contain too much detail, so today’s has a short or a long version for you to choose which you read.
Short version:
The club has flooded and we are doing some stuff.
Longer version:
Frenetic activity continues this week with some great information to share with all members!
Subscriptions:
Clearly everyone is devastated. Progress towards getting the club up and running is impressive but the scale of damage inevitably means that you have to play elsewhere and incur costs, in addition to paying your subscription. We have considered various options to reimburse you and rest assured that you will be recompensed for the weeks that the club is not fully operational. We have insurance for loss of revenue and in discussion with our loss adjusters, we have a plan, obviously subject to the approval of our insurers.
SO, whilst we haven’t needed to call on you to get your wellies on and shovels out, we are asking you to support the club by continuing to pay your subs so that we maintain cash flow during the recovery process. THEN when we are fully operational, should you wish, we will freeze your payments for an equivalent number of weeks. Those who paid an annual fee can have their membership extended. We appreciate your understanding and please bear with us.
If you want more information / help about playing elsewhere for tennis give Sal / James a call, and for squash call Finlay Stott.
Tennis courts:
We’re still finalising the details on hopefully replacing all 7 courts, but still need agreement from the insurers on exactly how we proceed.
However we have managed to grab an opportunity to lift the rucked playing surfaces on court 1 & 2 on Friday this week. Once it’s gone the tarmac underneath can be professionally power washed and some court lines sprayed to mark out the 2 courts ! We are currently working through what else needs to be in place for them to be used. We didn’t have quite as much luck when inspecting the floodlights columns and electrical power cabinets today as the electrics were still full of water which isn’t great !
We are still working up a plan to get the other courts playable very soon so watch this space.
Squash courts:
This morning we had Courtmasters on site to inspect the courts. This was very sad as Gary and his team have lovingly cared for the walls and floors for over 25 years.
Their team is back next Monday morning to remove the entire wooden floor structure in all 5 courts, which will really speed up getting the remaining huge quantities of water out of the building with more dehumidifiers.
Damaged and scrap inventory:
We have endeavoured to list everything in the club that has been damaged or scrapped that isn’t a fixed part of the building. This was quite a task but thanks to a small team we now have a huge list to add to the insurance claim.
Building survey:
Yesterday we met 2 building surveyors on site who we have appointed and they will create a very detailed schedule of works and bill of quantities for the extensive repairs needed. This will be presented to the insurers as a major part of the claim and no doubt after some negotiation will form the basis of a tender document that could go out to building contractors. This will set the base line cost for the overall claim.
Environment Agency:
Yesterday we had a visit from the EA and we explained the timeline of events with photographic evidence, and the mechanisms of how we actually flooded. We also gave them an impact statement to demonstrate how many people have been affected and the financial impact on the clubs.
Met our local MP:
This afternoon Nigel attended a meeting chaired by our MP Pauline Latham OBE who had also invited representatives from the EA, AVBC, DCC, Severn Trent Water, and Duffield Parish Council. The aim was to share an understanding of what happened and the consequences on organisations, then to start the conversation about what lessons can be quickly learned.
There was a shared desire to clarify exactly why it happened and to make whatever physical and procedural changes necessary to mitigate further similar occurrences.
The other agencies that were at the meeting explained the likely grants that will be made available, and in fact we have already started making initial applications.
Next update by next Sunday 5th November
